0108Getting started

Four steps before your first file.

Allow twenty minutes for a practice that knows its own structure. Nothing is final: the sector, the roles and the members can all be changed afterwards from the settings.

01Setup

From creating the account to the first file.

01
Step 01

Create the organisation

A personal account, then an organisation standing for your obliged entity. Enter your company number: the CBE record fills in the name, the legal form and the registered office, so the legal data does not come from manual typing.

  • Company number, then a check of the pre-filled CBE record.
  • Category of obliged entity: it decides the risk questionnaire every one of your files will use.
  • One organisation per legal entity, not per office or per partner.
02
Step 02

Invite the team

Invitations go out by email from the settings, under Team. Every member arrives with a role, and the role decides what they see before it decides what they may do.

  • One invitation per work address, revocable at any time.
  • A role can be changed afterwards without recreating the account.
  • Second factor available through a passkey or a code sent by email.
03
Step 03

Appoint the compliance officer

The law requires someone responsible for compliance. In AML Company that role is not decorative: they alone, with administrators and the owner, can reach the suspicious transaction reports and file them.

  • The compliance officer role approves files and handles alerts.
  • Members and guests never see a report.
  • A change of compliance officer is logged like any other event.
04
Step 04

Open the first file

A file starts from a company number or from a natural person, then follows the path the next sections describe: identification, risk questionnaire, screening, approval.

  • Draft, in progress, awaiting approval, approved or rejected.
  • The file stays editable until approval, and traced afterwards.
  • An incomplete file cannot be approved by accident.

02Roles and permissions

Five roles, one legal partition.

Roles are not only about convenience: the law forbids revealing that a report exists. Keeping reports partitioned is therefore a legal constraint, not an administrator's preference.

03Before you start

What to have at hand.

  • Your company number, and one for each entity if you run several.
  • The name of the person appointed responsible for compliance.
  • The work addresses of the colleagues to invite, with the role you want for each.
  • Your category of obliged entity, if your activity falls under more than one text.
